Hosting a Special Event on Village Owned Property
Are you interested in using the Bill Clark Memorial Park and Ball Diamond for your team or tournament?
Are you planning an event such as a wedding or a meeting on Village property?
Anyone who is planning to hold a public event on any Village of McBride owned land, streets, sidewalks, parks, and/or buildings must reserve the space and obtain Facility User Liability Insurance. The "Facility User Liability Insurance” is a general liability coverage, naming the Village of McBride as “additionally insured”. The Village of McBride requires this insurance to ensure that the Village of McBride is covered in case of any injury or damage to property arising from the event.

If you’re planning to temporarily close a street, sidewalk, or boulevard in McBride for an event, you’ll need to submit a Temporary Street Closure Permit application to go before Council. This permit grants permission to close the street to vehicular traffic, while ensuring local access for emergency vehicles. The permit is issued in accordance with the Village of McBride Traffic Bylaw 568, which governs the use of streets and sidewalks.
Purpose:
The general purpose of this bylaw is to provide safety and order on the roads.
Regulations:
- Closure of streets is prohibited in the Village unless written approval has been provided by Council.
- Applicants requesting street closures on Village property are responsible for placing the barricades where needed just before the event starts and removal of the barricades afterwards. Public Works will have the barricades set out close by.
- You are responsible for the cleanup.
Process:
Step 1: Fill out the application for Temporary Street Closure.
Step 2: Application needs to be received at the Village Office by 4:30 p.m. the Tuesday before the next Council Meeting.
Step 3: Council will assess your application. Council may approve your request, deny your request or request more information or any adjustments as necessary.
Step 4: You will receive a formal letter stating Council's decision. If approved, you will be required to submit a general liability coverage, naming the Village of McBride as “additionally insured”.
Purpose:
The general purpose of this policy is to provide direction for Council and Administration to regulate the placement of Portable/Temporary Toilets and to protect the health, safety and general welfare of the persons and public property within the Village of McBride.
Regulations:
- Placement and use of any portable/temporary toilet is prohibited in the Village unless written approval has been provided by Council.
- Portable/temporary toilet use is intended for such purposes as sporting events, picnics, parades, public gatherings, construction operations and other purposes, as approved by Council, where other toilet facilities are not available and the need for toilet facilities exists.
- Approved portable/temporary toilets must be set no closer than ten (10) feet of any property line, anchored to the ground and screened from public view.
- Approved portable/temporary toilets are limited to a maximum of three (3) day placements.
- Approved portable/temporary toilets are required to have hand washing stations within close proximity of the units and be cleaned and sanitized on a regular basis.
- Portable/temporary toilets are required to have a sewage disposal plan and conform to the Regulations governing Sewage Disposal and conform to the requirements of the Health Act and all amendments thereto.
- Applicants requesting placement of portable/temporary toilets on Village property are responsible for all costs related to acquiring units, placement, and removal and clean up. In addition, applicants will be accountable for any leakage or damage that may occur with the units placed on Village property.
Process:
Step 1: Write a letter to Mayor and Council requesting approval of a portable/temporary toilet on Village Property.
In your letter include:
- Where the event is taking place.
- The dates you require the portable/temporary toilet.
- The type of event you are hosting.
- Who is responsible for all cost related to acquiring units, placement, and removal and clean up and who
will be accountable for any leakage or damage that may occur with the units placed on Village property.

Step 3: Council will assess your letter. Council may approve your request, deny your request or request more information or any adjustments they see necessary.

Purpose:
Beer Garden Endorsements are provided in accordance with the Special Occasion regulations as prescribed by the Liquor Control Act. Under these regulation, all profits from a Beer Garden must be utilized by or donated to a charitable organization.
Regulations:
- Compliance with the Liquor Control Act of British Columbia.
- Provision of traffic and / or parking control for participants.
- The cost of repairing any damage caused as a result of this function.
- General clean up of area within 24 hours.
- Removal of temporary structures within 48 hours.
- Liability insurance covering the event.
- Washroom facilities must be left in a clean and sanitary condition with all paper supplies restocked.
- Comply with Village of McBride Policy P-10 – Impaired Driving Designated Driver Program .
